The Basics of Editing

Editing is the process of creating clarity and effective communication by correcting punctuation, spelling, word order, omissions, sentence structure, and grammar, among others. To successfully edit a text, the editor (student) should be able to identify the type of text then make use of his or her knowledge of grammar and vocabulary.

Guidelines for Editing a Formal Letter

A formal letter is written to a person in authority, a hierarchy or the head of an institution, which often has a title. To edit a formal letter, one must know the layout of a formal letter and then apply the necessary knowledge of grammar and vocabulary.

The first thing that appears on the paper is the address of the writer, followed by the date at the top right-hand corner of the page. Next is the address of the recipient or receiver which is written on the left-hand side of the page. This is followed by salutations or greetings (Dear Sir/Madam). This is followed by the title of the letter, which is usually written either in Capital letters or in title case, and is underlined.

After the title of the letter is the body of the letter which is followed by the complimentary close. It is often written ‘yours faithfully’ when the recipient’s name is not known (e.g., Dear Sir/Madam) or ‘yours sincerely’ when the recipient’s name is known.
